Every reply pulls the contact, company, active deals and recent correspondence straight out of HubSpot before the first word is drafted. Sent email logs itself against the right record. New contacts and deals get created from any inbox, fields extracted, you approve, done.
The second SMART Reply opens an email from someone in your HubSpot, it pulls everything that matters about that contact, silently, in parallel, and feeds it into the model that writes your draft. So your reply reads like it came from the person who has been working the account for six months, because functionally it did.
Quiet by design. If the contact isn't in HubSpot, or if HubSpot doesn't respond, the draft still happens. CRM context is an enhancement, never a blocker. And every lookup caches for sixty seconds so generate / regenerate / audit don't burn HubSpot rate limit.
Read any email in Outlook and SMART Reply already knows what HubSpot should do about it. Existing contact with an active deal? You see Log to deal. New enquiry with no record? You see + Create opportunity in gold. Everything else? A neutral + HubSpot CRM. The button decides what is on offer; you decide whether to take it.
When an inbound email arrives against an active deal, SMART Reply reads the email and the deal's pipeline, then asks a single question: is there a stage this might want to move to? Out comes one of three answers, a clear suggestion with citations, a "stay where you are", or nothing at all. Pure suggestion. Never an automatic move.
The reasoning is cited verbatim from the email. SMART Reply never paraphrases the evidence it used.
The most boring part of using a CRM is the bit where you remember to log the email you just sent. SMART Reply does it for you. When you send an email from Outlook to anyone who is already in HubSpot, the email, subject, body, attachments, gets logged against their contact record automatically. The activity feed in HubSpot finally matches reality.
The HubSpot data model for an independent school is different from a SaaS company, parent records are contacts, children are deals, schools of interest sit on each child. The SMART Reply extractor recognises which shape an email is and pulls the right fields. Same OAuth, same context engine, same auto-log. Two industries served by one piece of code.
Why this matters. If you run a HubSpot group across multiple schools, Cognita, Globeducate, Inspired, Nord Anglia, SMART Reply already speaks the data model your provider built. No "we'd need to retrain it for schools" conversation. It works on day one.
SMART Reply uses HubSpot's official OAuth flow. You click Connect, approve the scopes on HubSpot's screen, you're back. Disconnect is a single button, tokens revoked immediately, your HubSpot data left exactly where it was.

Does it write to HubSpot without my permission?
No. Auto-logging of sent email is on by default and can be turned off in settings. Anything that creates or changes a record, new contact, new deal, deal stage move, requires you to review and approve first. Deal stage suggestions are surfaced as suggestions; SMART Reply never moves a deal silently.
Will it create duplicate contacts?
No. Auto-log only ever attaches to contacts that already exist in HubSpot. Unmatched recipients are ignored, not silently created. New contacts and deals only get created when you use the + HubSpot CRM button and approve the extracted fields.
Where is the HubSpot data stored?
Nowhere. SMART Reply queries HubSpot live each time, caches the response in memory for sixty seconds against your user ID, then forgets it. There is no shadow copy of your HubSpot pipeline on our infrastructure. The tokens that authorise the connection are stored encrypted in your row of our Supabase database under row-level security.
What HubSpot scopes does it ask for?
Read: contacts, companies, deals, deal schemas, notes. Write: contacts, deals, notes. It does not request the broader engagements scope because email logging uses HubSpot's typed email object endpoint, narrower, more auditable. The exact list shows on HubSpot's consent screen at install time.
Does this work for school admissions as well as commercial sales?
Yes. The same integration handles both shapes. For commercial it pulls contact + deal. For admissions it pulls parent + child + school of interest. The extractor recognises which shape the email is and pre-fills the right fields. Identical OAuth, identical context engine, two go-to-markets, same code.
My CRM is not HubSpot. Can I still use SMART Reply?
Yes, every other surface (Outlook, Microsoft 365, LinkedIn) is on the base SMART Reply plan and works regardless of CRM. Does this need anything beyond a HubSpot account?
A SMART Reply subscription, an Outlook mailbox (Microsoft 365 or Exchange-backed), and a HubSpot account where you have permission to install integrations. That's it. No HubSpot Enterprise required.
Is there a HubSpot Marketplace listing?
